At All Seasons Car Rental, we understand that travel plans can change. Our cancellation policy is designed to be as flexible as possible while allowing us to manage our fleet effectively. This policy applies to all pre-paid reservations made directly through our website, https://allseasonscarrentaltci.com, or via our reservations office.

1. Standard Cancellation

We offer a tiered refund structure based on the amount of notice you provide before your scheduled vehicle pick-up time.

  • Cancellation with more than 72 hours’ notice:
    • You will receive a full refund of the amount paid, less a small administrative fee of $25.00 to cover processing costs.
  • Cancellation within 72 to 48 hours of pick-up:
    • You will be charged a cancellation fee equal to one full day’s rental rate at the price you booked. The remaining balance of your pre-payment will be refunded.
  • Cancellation with less than 48 hours’ notice:
    • No refund will be issued. The full amount of the pre-paid reservation will be forfeited, as we are unlikely to be able to re-rent the vehicle on such short notice.

2. No-Shows A “no-show” occurs if you fail to arrive to pick up your vehicle at the scheduled time without providing any prior notice of cancellation.

  • In the event of a no-show, no refund will be issued, and the entire pre-paid amount will be forfeited to cover the cost of holding the vehicle for you.

3. Early Returns If you return the vehicle earlier than the date and time specified in your rental agreement, no refund or credit will be issued for the unused portion of the rental.

4. Special Circumstances & Force Majeure We recognize that some cancellations are unavoidable due to circumstances beyond your control.

  • Hurricanes: If an official hurricane warning is issued by the Turks and Caicos Islands Government for Providenciales for the dates of your rental, you may cancel your reservation and receive a full credit for a future rental. This credit is valid for 12 months from the date of the original booking.
  • Flight Cancellations: If your flight to Providenciales (PLS) is cancelled by the airline, preventing you from arriving on your scheduled day, you may receive a full credit for a future rental upon providing official proof of cancellation from the airline. This credit is valid for 12 months.
  • Medical Emergencies: In the case of a documented medical emergency preventing travel, please contact us directly. We will review these cases on an individual basis.

5. High-Demand & Holiday Periods Please note that reservations for peak periods (e.g., Christmas, New Year’s, Easter week) may be subject to a stricter cancellation policy. Any modified terms will be clearly and explicitly stated during the booking process for these specific dates.

6. How to Cancel a Reservation To cancel your reservation, you must notify us either by:

Please provide your name and reservation confirmation number. The cancellation will be effective as of the time we receive your notification. We recommend email for a clear time-stamped record.
